Academy Policies

Arunodhaya Dance Academy is a program of Arunodhaya Foundation. These policies are designed to provide a respectful, structured, safe, and positive learning environment for all students.

Attendance & Punctuality

Regular attendance is important for each student's progress and continuity in training.

• Students are expected to attend their scheduled classes regularly and arrive on time and prepared for class.
• If a student will be absent, the student or parent/guardian should notify the Academy in advance whenever possible.
• Regular attendance may be especially important when preparing for assessments, recitals, performances, or productions.

Missed & Make-Up Classes

Students who miss a class due to vacation, illness, or another personal commitment may be offered a make-up class where appropriate.
Make-up classes are:

• Subject to class availability
• Based on the student's appropriate level
• Subject to instructor approval
• Not guaranteed if a suitable class is unavailable

Missed classes do not result in tuition credits or refunds.

Class Placement & Advancement

Students are placed in classes based on factors such as age, experience, training level, readiness, and instructor assessment.
Students enrolled in the Arunodhaya Bharathanatyam Certification Program must complete the curriculum requirements and successfully complete the applicable assessment before advancing to the next level.

Advancement is based on demonstrated readiness and successful completion of the required curriculum and assessment.
The Academy may move a student to another appropriate class when the instructor determines that a different placement would better support the student's training.

Uniform & Class Preparation

• Students are expected to attend class in the required Academy uniform or approved dance attire for their class or program.
• Hair should be secured neatly away from the face.
• Jewelry and accessories that may interfere with safe movement should be removed before class.
• Students should bring any materials or items requested by their instructor.
• Specific uniform requirements may vary by program or level and will be communicated to students and families.

Student & Family Conduct

Students, parents, and guardians are expected to communicate and behave respectfully toward instructors, fellow students, volunteers, musicians, staff, guests, and other families.

Students are expected to:

• Listen and participate appropriately during instruction.
• Follow reasonable instructions provided by their instructor.
• Treat others with respect.
• Take care of Academy, Foundation, venue, costume, and performance property.
• Contribute to a positive and respectful learning environment.

Behaviour that is repeatedly disruptive, disrespectful, threatening, discriminatory, or otherwise interferes with the learning environment may be addressed by the Academy.

Depending on the circumstances, the Academy may speak with the student and/or parent/guardian, establish expectations for continued participation, or reconsider the student's continued participation in the program.  Serious concerns will be handled by Arunodhaya Foundation on a case-by-case basis.

Withdrawal from Classes

• Students wishing to discontinue classes must provide written notice to Arunodhaya Dance Academy before the 27th of the preceding month, before the next monthly tuition invoice is issued.
• For example, to discontinue classes beginning in September, notice must be provided before the September tuition invoice is issued on August 27.
• Once a monthly tuition invoice has been issued, the full invoiced amount remains payable in accordance with the Tuition & Payment Policy.
• Simply not attending classes does not constitute notice of withdrawal.

Class Cancellations & Inclement Weather

Classes may occasionally need to be cancelled, rescheduled or conducted online on Zoom due to severe weather, instructor illness, facility issues, emergencies, or other circumstances beyond the Academy's reasonable control.

• Families will be notified as soon as reasonably possible when a class is cancelled or changed.
• Where appropriate and reasonably possible, the Academy may offer a make-up class, alternate class, or rescheduled class.
• Arrangements for Academy-cancelled classes will be communicated to affected students and families.

Arrival & Pick-Up

• Parents/guardians are responsible for ensuring that minor students arrive safely and are picked up promptly at the end of class.
• Parents/guardians should ensure that an instructor or appropriate Academy representative is present before leaving a minor student at the class location.
• Students should not be dropped off significantly before their scheduled class time unless prior arrangements have been made.
• Parents/guardians should notify the Academy of any important changes to regular pick-up arrangements.

Parent/Guardian Responsibilities

Parents and guardians are responsible for:

• Keeping their contact information current.
• Reviewing Academy communications regarding classes, invoices, assessments, rehearsals, performances, closures, and other important information.
• Completing required forms, registrations, payments, and consents by the communicated deadlines.
• Informing the Academy of relevant information or accommodations that may affect a student's safe and appropriate participation.

Food & Drinks

• Students should bring a water bottle to class where appropriate.
• Food, chewing gum, and other drinks should not be consumed in the dance area unless specifically permitted.
• Students are expected to help keep the teaching and rehearsal space clean and safe.

Personal Belongings

• Students are responsible for their personal belongings and are encouraged to clearly label their items.
• Valuable items should not be brought to class unless necessary.
• To the extent permitted by applicable law, Arunodhaya Foundation and Arunodhaya Dance Academy are not responsible for personal belongings that are lost, misplaced, stolen, or damaged during classes or activities.

Class Schedule Changes

Arunodhaya Dance Academy may make reasonable changes to class times, instructors, class groupings, locations, or schedules when necessary for the effective operation of the program.

Families will be given reasonable notice of significant changes whenever possible.

Assessments

Students may be invited or approved to participate in a level assessment once the instructor determines that the required curriculum has been completed and the student is ready.

Assessment registration, deadlines, requirements, and applicable fees will be communicated separately.

Successful completion of the applicable assessment is required before advancing to the next level of the Arunodhaya Bharathanatyam Certification Program.

Cultural Showcase, Performances & Productions

Participation in recitals, Graduation Productions, and other performances may include specific requirements relating to:

• Attendance and rehearsals
• Costumes and presentation
• Registration deadlines
• Performance readiness
• Applicable fees

Students must meet the requirements communicated for each performance or production in order to participate.

Photography & Video

Classes, rehearsals, assessments, cultural showcase, performances, and other Academy activities may be photographed or recorded for educational, documentation, archival, or promotional purposes.

Where required, appropriate photography and video consent will be obtained through the applicable registration or consent form.

Communications

Important information regarding classes, schedules, invoices, assessments, rehearsals, performances, closures, and other program matters may be communicated through WhatsApp Class Groups, email, invoices, registration forms, or other official Academy communication channels.

Students and families are responsible for reviewing Academy communications and keeping their contact information current.

Fees & Payments

All tuition and program-related fees for Arunodhaya Dance Academy are invoiced and collected by Arunodhaya Foundation.

​Tuition & Payment Policies

Arunodhaya Foundation manages all invoicing and fee collection for programs offered through Arunodhaya Dance Academy. This policy applies to all students enrolled in Academy classes and programs.

Monthly Tuition & Invoicing

• Tuition is billed monthly by Arunodhaya Foundation.
• Monthly tuition invoices are issued on the 27th of the preceding month. For example, the September tuition invoice is issued on August 27.
• Tuition is due on the 1st of each month.
• A grace period is provided through the 10th of the month.
• If payment has not been received by the end of the grace period, a $10 late fee will be added to the outstanding invoice.
• Once a monthly tuition invoice has been issued, the full invoiced amount remains payable.

Vacations & Planned Absences

Monthly tuition reserves the student's place in their regularly scheduled class.

• Vacations, travel, personal commitments, or missed classes do not reduce or cancel monthly tuition.
• If a student will be away after the monthly invoice has been issued, the invoice remains payable in full.
• Families planning an extended vacation or absence of 2 months or more must notify Arunodhaya Dance Academy before the applicable tuition invoice is issued on the 27th of the preceding month.
• Where possible, missed classes may be made up in another appropriate class, subject to class availability and instructor approval.
• Missed classes are not eligible for tuition credits or refunds.

Class Schedule, Summer Classes & Statutory Holidays

• Arunodhaya Dance Academy operates classes throughout the year, including during July and August.
• July and August are regular class months, and monthly tuition remains applicable.
• Family vacations or travel during the summer do not pause, reduce, or cancel monthly tuition. Please refer to the Vacations & Planned Absences section above.
• The Academy may be closed on statutory holidays and other scheduled closure dates announced in advance.
• Monthly tuition is not reduced, prorated, credited, or refunded due to statutory holidays or scheduled Academy closures.
• Make-up classes are not normally provided for statutory holiday or scheduled Academy closures unless otherwise announced by the Academy.
• Changes to the regular class schedule will be communicated to students and families.

Cultural Showcase & Costume Fees

Students participating in the annual Cultural Showcase are responsible for the following:

• Cultural Showcase Fee: $70 + HST per student
• Costume Deposit: $50 + HST per student

The costume deposit will be applied toward the cost of the student's Cultural Showcase costume. If the final costume cost exceeds the deposit, the remaining balance will be invoiced separately.

Cultural Showcase and costume-related fees are separate from monthly tuition and are invoiced and collected by Arunodhaya Foundation.

Assessment Fees

Assessment fees are separate from monthly tuition and are invoiced and collected by Arunodhaya Foundation.

Assessment fees may vary by level and will be communicated to eligible students before registration.

Students must successfully complete the required level assessment before advancing to the next level of the Arunodhaya Bharathanatyam Certification Program.

Graduation Production Fees

Graduation Production Fees are separate from monthly tuition, assessment fees, Cultural Showcase fees, and costume-related fees.
The applicable Graduation Production Fee and payment schedule will be communicated to participating students and families in advance.
All Graduation Production Fees are invoiced and collected by Arunodhaya Foundation.

Refund Policy

Tuition, assessment fees, Cultural Showcase fees, costume-related fees, and Graduation Production Fees are non-refundable once paid, except in exceptional circumstances at the discretion of Arunodhaya Foundation.

Payment Responsibility

Students and families are responsible for keeping their accounts current and paying invoices by the applicable due dates.
Outstanding balances, including applicable late fees, must be paid in accordance with this policy.

Policy Updates

Arunodhaya Foundation reserves the right to update or revise these policies from time to time to reflect changes to programs, operations, schedules, fees, or administrative requirements.

Any significant changes affecting currently enrolled students and families will be communicated through the Academy's regular communication channels.

Policy Acknowledgement

By registering for or continuing participation in programs offered through Arunodhaya Dance Academy, students and/or their parent or guardian are expected to review and follow the policies outlined on this page.

Students and/or their parent or guardian are required to acknowledge acceptance of these policies as part of the registration process.
